Q.    When I want to rent a room, how should I begin?

A.    To begin with, you must know the date of the function, how many people will attend, what type of         

        function or event you are having and which community center is most convenient for you.  The next     

        step is to reserve a room.  You may phone the Scheduling Office at (718) 320-3515 or 3110 

        between the hours of 8 AM to 11:30 AM and 1 PM to 4 PM, Monday through Friday or visit 

        the office, which is in Bartow Community Center across from Public Safety.

 

Q.    What types of functions are allowed?

A.    Below is the list of event types:

 

  • Baby shower

  • Bridal shower

  • Wedding reception

  • Christening/baptism

  • Child's birthday

  • Adult's birthday

  • Sweet-16 birthday (Shareholders only)

  • Memorial service

  • First communion

  • Anniversary

  • Holiday party

  • Retirement party

  • Farewell party

  • Engagement party

  • Dances (Non-profit Co-op City organizations only)

  • Family reunion

    

Q.    What is the smallest room available to rent?

A.    The smallest rooms, one in the Dreiser Community Center and the other in Einstein, hold 40         

        people.

 

Q.    Does the smallest room have a kitchen and ice machine?

A.    No, only rooms for 200 guests and over include the use of a kitchen and ice machine.

 

Q.    Are rooms in the lobbies of the residential buildings available for rental?

A.    No, these rooms are for your building association to use for meetings.  

 

Q.    For how many days can I hold a room?

A.    Security deposit is due within 5 days of putting room on hold, otherwise the room is released.

 

Q.    How much is the security deposit?

A.    The cost of the room rental.

 

Q.    What is the cost of renting a room?

A.    Since the cost depends on a number of factors such as the size of the room, the type of function, 

        the time of day and day of week, the best way to find out is to call the Scheduling Office.

 

Q.    When is the balance of the payment due?

A.    Remaining balances including the use fee, porter's service, use of the ice machine and the cost of     

        overtime are due 30 days before the event.

 

Q.    How can I pay my deposit or remaining balance?

A.    By check or money orders only.  No cash or credit cards are accepted.  

 

Q.    How can I get a refund if I am forced to cancel my event?

A.    By supplying the Scheduling Office with written notice at least 30 days before the date of the event,     

        you will receive a full reimbursement for all fees and the security deposit you paid minus $50.00 for 

        the cancellation fee.

 

Q.    What features are included in the cost of a room rental?

A.    Larger rooms gets a kitchen and overtime.

 

Q.    When can I go in to decorate my room for a party?

A.    Decoration time is 11AM on Saturday and 1PM on Sunday.

       Small and Medium rooms decoration time is within the 8hrs.

 

Q.    For what periods of time can we rent rooms?

A.    We have set hours, which are: 11 - 8 PM 1 - 9 PM 2 - 10 PM 3 - 11 PM 4 - 12 mid 5 - 1 AM.       

        Children’s birthday’s parties are from 11AM-8PM only.  

 

Q.    How do you define a non-profit organization?

A.    To qualify as a non-profit organization, you must show a copy of your charter as well as have a 501c 

        tax exempt paper.  

 

Q.    Can I rent a room if I am not a resident of Co-op City?

A.    Only residents and Co-op City non-profit organizations can rent a room. 

 

Q.    When and how will the security deposit be returned?

A.    The security deposit refund will be returned to you by mail between 30 and 60 days after your function.
